  • Overview

    ​Under general supervision, the Corporate Executive Assistant performs administrative work of a complex and confidential nature for an executive level officer. This team member has contact with other departments, as well as senior management and high-level officers both internal and external to GM Financial.

    Responsibilities

    JOB DUTIES

    • Prepare and distribute internal and external correspondence ensuring the integrity of confidential information. This includes but is not limited to dictation, meeting minutes, memos, reports and other professional communication.
    • Screen and route telephone calls while accurately recording and routing messages on a timely basis.
    • Review and distribute incoming mail as well as collect and route all outgoing mail.
    • Schedule and coordinate appointments, meetings, conferences and conference calls.
    • Maintain and update electronic calendars and task lists for management assuring that complete information is available for all matters.
    • Establish and maintain hard copy and/or electronic filing systems for departmental data, documents and other materials.
    • Prepare and distribute professional quality documents, reports or presentations.
    • Arrange all necessary travel arrangements that include airfare, lodging and rental car.
    • Copy all invoices, and distribute to appropriate individual for approval, while handling any invoice problems.
    • Promote a positive, cooperative and professional attitude when interacting with other departments, customers, dealerships and vendors.

    Qualifications

    Knowledge

    • Administrative and clerical procedures and systems
    • Basic software applications (e.g., Outlook, Word, Excel, Lotus, Access, Internet, Email)
    • Customer service strategies and techniques (e.g., handling customer complaints, checking for customer satisfaction)
    • Working knowledge of Microsoft Office products, Word, Excel, Outlook, Power Point, Access, and Project
    • Basic knowledge of general office procedures
    • Office equipment (e.g., printers, telephones, copiers, fax machines, etc.)
    • In-depth knowledge of GM Financial operations, policies, staff, and procedures
    • Thorough understanding of corporate secretarial and general office procedures

    Skills

    • Must have excellent oral and written communication skills with an ability to interact with senior management and high-level officers both internal and external to the company.
    • Must possess the skills necessary to operate various office equipment such as, but not limited to, fax machine, copy machine and scanner.
    • Must have advanced and accurate typing, 10-key and word processing skills, as well as basic math skills.
    • Ability to type 60+ WPM required.
    • Superior grammar, spelling, proofreading and document editing (formatting, margins, page numbers, watermark, etc.) skills are required.
    • Must possess the ability to multi-task and make independent decisions within established guidelines relating to the performance of day-to-day duties.
    • Must have the ability to solve problems and meet deadlines.
    • Strong organizational skills and the ability to work in a fast paced environment are required.
    • Must be able to work independently with limited supervision.
    • Must have superior interpersonal and teamwork skills.

    Education

    • High School Diploma or equivalent required
    • Bachelor’s Degree and/or completion of secretarial courses preferred

    Experience

    • 5-7 Years experience performing complex secretarial duties, with experience performing administrative duties for executive level management. Must have proficiency in a full range of office responsibilities and procedures. Demonstrated ability to utilize Microsoft Office products. Must have experience interacting with and supporting senior and executive levels of management. Demonstrated ability to work independently and accurately with attaining a high level of accountability. Proven experience managing and prioritizing access to senior and executive levels of management preferred

    Work Condition

    • Normal office environment.
      Ability to lift 20 lbs.
      Standard working hours 7:30 am to 4pm.
